This policy explains what personal information Pim & Partners collects through pim-partners.co.uk, why we use it, who we share it with and what choices you have. Last updated: 8 October 2026.

Who we are

Pim & Partners is the trading name of Assen Residential London Ltd, a company registered in England and Wales (company number 06863442). Our registered office is Riverside Cottage, Wisley Lane, Wisley, Surrey GU23 6QJ.

We are the “controller” of the personal information described in this policy, which means we decide how and why it is used. We are registered with the Information Commissioner’s Office (ICO), reference ZB138293.

Our partnership with Harding Green

Pim & Partners works in partnership with Harding Green, which provides our estate agency infrastructure, including access to the property portals and compliance support. Properties we market appear on the portals as “Pim Assen – Harding Green” or as “Harding Green”.

Lettings and property management are handled by Harding Green, which has the appropriate requirements in place for that work, including client money protection. Pim & Partners does not hold tenancy deposits, rent or any other client money on behalf of clients. You are welcome to contact us about any of these services, and we will involve Harding Green as needed.

The information you give us through this website is held by Pim & Partners, and we are responsible for it. Harding Green Limited, which provides our estate agency systems and compliance support, can access the information we hold, other than Bali enquiries, so that it can provide those services and deal with any property, lettings or property management matter your enquiry involves. Harding Green is a separate organisation. If you deal with it directly, it uses your information under its own privacy notice.

Our Bali property introductions are separate. They are provided by Pim & Partners alone and are not associated with Harding Green. Enquiries you make through the Bali pages are handled by Pim & Partners (and, where you ask about a particular development, the developer), and Harding Green cannot access them.

What information we collect

Information you give us. When you use a form on our website, email us, call us or message us on WhatsApp, we collect what you tell us. Depending on the form, that can include:

  • your name, email address and phone number
  • your preferred way to be contacted
  • details about your plans, such as whether you want to buy, sell or invest, the area, property type, number of bedrooms, estimated value, budget, timeframe and your current position
  • the country you live in, if you register interest in a Bali property
  • anything you write in the message box
  • whether you agreed to receive emails from us

Please do not send us sensitive information (for example health details or bank details) through the website forms.

Where we keep it. The details you give us in a direct enquiry to Pim & Partners are stored in REX, our customer relationship management (CRM) system. If you agree to receive emails from us, your name, email address and interests are also held in Mailchimp, which we use to send our newsletters.

Free valuations and property reports. Our website has a tool, provided by HomeSearch, where you can ask for a free valuation or a property report. If you use it, we collect the details you enter, such as your name, email address, phone number and property address.

Information we collect automatically. If you accept analytics cookies, Google Analytics collects information about how you use the site, such as the pages you view, how long you stay, the type of device and browser you use, and your approximate location. Your full IP address is not stored in Google Analytics reports. If you do not accept analytics cookies, we do not collect this information.

Our web hosting and security systems also keep standard technical logs (such as IP address, date and time, and the page requested) so that the site works and stays secure.

Comments. If you leave a comment on a blog post, we collect the name, email address and comment you submit, and your IP address.

Information from other sources. If you ask us about a property marketed by another agent or a developer, they may share details of your enquiry with us so that we can help.

How we use your information

We only use personal information when the law allows it. The table shows what we use it for and our legal reason (“lawful basis”) under UK data protection law.

We do not sell your personal information. We do not make decisions about you using automated processing that has legal or similarly significant effects.

Who we share your information with

We share your information only where we need to, and we never sell it. The people we may share it with are:

  • Service providers that help us run the website and our business, and act on our instructions. These include REX (our customer relationship management, or CRM, system, where we store enquiry and client records), our web hosting company, email and form delivery services, Mailchimp (which sends our newsletters), and Google (website analytics, only if you accept analytics cookies).
  • Developers and other agents. If you ask about a specific development, such as a Bali project, or about a property marketed by another agent, we may pass your enquiry to the developer, their sales team or that agent so they can respond. We will only do this where it is what you asked for, and we will tell you first where it is not obvious. For Bali projects by Coco Development Group, your details may then be held in the developer’s own customer system (GoHighLevel), which we can access.
  • Professional advisers, such as solicitors, accountants and insurers, where we need their advice.
  • Our redress scheme. We are members of Property Redress, which may receive information about a complaint if you refer one to it.
  • Regulators and public authorities, such as HMRC, the ICO, the police or the courts, where the law requires it.
  • A buyer of our business, if we ever sell it. Your information would stay protected by this policy.
  • Harding Green, our partner. Harding Green can access the information we hold, so that it can provide our estate agency systems and compliance support (including identity and anti-money-laundering checks) and deal with any property, lettings or property management matter your enquiry involves. This does not include Bali enquiries, which Harding Green cannot access.

Our website uses HomeSearch, a third-party subscription service that provides property data and reports, for the free valuation and property report tool. If you use the tool, HomeSearch collects and handles what you enter there under its own privacy notice, and passes your request to us so we can respond.

If you contact us on WhatsApp, the conversation is also handled by WhatsApp under its own terms and privacy policy.

Transfers outside the UK and how long we keep information

Transfers. Our CRM system, REX, stores information in the UK. Some of our other providers, such as Google and Mailchimp, are based in or use servers in other countries, including the United States. When your information leaves the UK, we make sure it is protected, for example by using providers covered by UK adequacy rules or the UK-US data bridge, or by using the ICO’s approved standard contract terms.

Bali is different. If you ask about a Bali development, your details may be held in Indonesia, in the developer’s customer system. The UK has not formally recognised Indonesia’s data protection laws as equivalent to its own, so we do this only because you have asked us to deal with the developer.

How long we keep information. We keep personal information only as long as we need it for the reasons above:

Cookies and similar technologies

Cookies are small files that a website saves on your device. On our website, analytics cookies stay off unless you accept them. When you first visit, a banner asks for your choice, and “Reject” is as easy to choose as “Accept”. We do not use cookies for advertising.

Changing your mind. Click “Cookie settings” at the bottom of any page to reopen the banner and change your choice. If you reject analytics cookies after accepting them, we stop Google Analytics and delete its cookies from our site. You can also delete or block cookies in your browser settings.

Other tools on the site. The HomeSearch tool loads from HomeSearch’s servers, so your browser connects to them when a page with the tool opens. It may use cookies or your browser’s storage when you use it. Our pages also load fonts from Google Fonts and Adobe Fonts, which receive your IP address when your browser fetches them. Links to social networks and WhatsApp take you to those services, which have their own cookie rules. Your rights and how to complain

Under UK data protection law you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct information that is wrong or incomplete
  • ask us to delete your information in some situations
  • ask us to limit or stop using your information in some situations
  • object to us using your information where we rely on legitimate interests
  • withdraw your consent at any time, where we rely on consent (for example for marketing emails)
  • ask for your information in a portable format, where we use it under consent or a contract

To use any of these rights, email pim@pim-partners.co.uk. We will reply within one month. We may need to check your identity first, and there is no charge in normal cases.

If you are unhappy with how we have used your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner’s Office at ico.org.uk/make-a-complaint or by phone on 0303 123 1113.

Security

We use sensible technical and practical measures to protect your information, such as a secure (HTTPS) connection, access limited to the people who need it, and trusted service providers. No website or email is completely secure, so please take care over what you send us.

Children

Our website and services are for adults. We do not knowingly collect information from children under 16. If you think a child has sent us information, please contact us and we will delete it.

Links to other websites

Our website links to other sites, such as social networks, developers and property portals. We are not responsible for their content or privacy practices, so please read their policies.

Changes to this policy

We may update this policy from time to time. The date at the top shows when it last changed. If we make an important change, we will say so on this page.
